Plan-Managed vs Self-Managed: What It Means for Your Cleaning

Plan-managed, self-managed, NDIA-managed — the difference matters when you’re choosing a cleaner. This decides which providers you can engage, who pays the invoices, and how much paperwork lands on your plate. Here’s the plain-English version.

The Three Management Types Explained

Every NDIS participant has one of three management types written into their plan:

  • NDIA-managed. The NDIA itself pays your invoices. You can only use NDIS-registered providers.
  • Plan-managed. A separate plan manager (a registered NDIS provider themselves) pays your invoices on your behalf. You can use registered OR non-registered providers.
  • Self-managed. You pay invoices yourself and claim the cost back through the NDIS portal. You can use registered OR non-registered providers.

You can have different management types for different parts of your plan — Core Supports plan-managed, Capacity Building self-managed, for instance. Check your most recent plan to see what applies to your household-tasks funding.

Why the Difference Matters for Cleaning

Most experienced local cleaners — including Green Koala — aren’t NDIS-registered. NDIS registration is a heavy compliance regime designed for big providers; for a small owner-operated cleaning business it’s often more burden than benefit. That doesn’t make the cleaning any different — it just means NDIA-managed participants can’t use them.

Plan-managed and self-managed participants have access to the entire local cleaning market. You can compare providers, pick the one that fits your home and your routine, and engage them directly. NDIA-managed participants are restricted to the smaller pool of NDIS-registered providers.

“Very highly recommend !!! We have our house cleaned frequently and we’re always very impressed. Green koala is reliable and good value. Hamish and his team are always very friendly and happy to help.”

How the Invoicing Works in Each Case

Plan-managed: Your cleaner sends the invoice to your plan manager (you nominate them; common names include Plan Tracker, MyIntegra, MyPlanManager, and Provider Choice). The plan manager pays the cleaner from your plan funds. You don’t pay anything, and you don’t claim anything back.

Self-managed: The cleaner sends you the invoice. You pay it. You then log into the NDIS portal (myplace) and submit a claim against your household-tasks budget. The NDIA reimburses you, usually within a few days.

NDIA-managed: The cleaner (who must be NDIS-registered) bills the NDIA directly through their provider portal. You’re not involved in any payment step.

Which Type Suits You?

There’s no universally correct answer — it depends on what you want your time spent on. Plan-managed is usually the lowest-friction option for cleaning: someone else handles invoices and reimbursements, and you still get to choose any provider. Self-managed gives you more control but means a bit more admin (paying invoices, claiming reimbursements). NDIA-managed limits your provider choice but removes you from the money flow entirely.

If you want to switch your management type, you can raise it at your next plan review. Most participants ask for plan-managed when they want broad provider choice without the personal admin overhead.

How You Get the Clean You Want

Once you know which management type applies to your cleaning funding, choosing a cleaner gets a lot simpler.

No pushy sales tactics. We have a friendly conversation, walk through your home, agree the scope room by room, and quote in writing. You move forward at your own pace. People choose Green Koala because we explain how the work will be done before we start — not after.

We’ll walk you through the room-by-room checklist so you’re not caught off guard by what’s included and what isn’t. We’ll explain the difference between cadences (weekly, fortnightly, monthly) so you know what each one costs and what each one delivers. And we’ll match what we do to what your home actually needs.

Our goal is straightforward. We want you to walk into a properly clean home — and feel that exact “this is what I wanted” relief — every visit.

Get in touch with us today. We’ll review your situation, answer your questions, and help you choose the cleaning cadence that fits your home, your budget, and your routine.

When you get in touch, we’ll call you back for a friendly 10-minute conversation. We’ll explain who we are, what we do, and most importantly, what we’re going to do for your specific home. We’ll answer every question you’ve got — about scope, pricing, frequency, products we use, anything.

Step 2: We Come Out and Look

We do a free walkthrough of your home — no pressure, no obligation. We agree the scope room by room, point out anything that needs special attention, and give you a written fixed-price quote on the spot. You’ll know exactly what’s getting cleaned and exactly what it’ll cost before any work starts.

Step 3: You Decide What Works Best

Take your time. Compare us with anyone else you’re considering. Once you’re ready, we’ll book the first clean — usually within 7 days — and confirm which cleaner will be coming to you each visit.

Step 4: We Stay With You

Recurring customers get the same cleaner each visit. Your cleaner learns your home, your preferences, your routine. Need to shift a date? Email or text us. Need extra hours one week? Just ask. We’re here for the long run.

Frequently Asked Questions

Can I use Green Koala if I’m NDIA-managed?

No — NDIA-managed participants can only use NDIS-registered providers. Green Koala isn’t currently registered. We’ll happily refer you to a registered Wangaratta-area cleaner.

Can I use Green Koala if I’m plan-managed?

Yes. Plan-managed participants can use any provider, registered or not. We’ll send invoices directly to your plan manager.

Can I use Green Koala if I’m self-managed?

Yes. Self-managed participants can use any provider. We’ll send invoices to you, and you claim reimbursement through the NDIS portal.

How do I switch from NDIA-managed to plan-managed?

Raise it at your next plan review. Most participants who want broader provider choice ask for plan-managed because it removes the registered-only restriction without putting personal admin on your plate.

Does the same cleaning service apply regardless of management type?

Yes — the actual cleaning work is identical. The management type only changes how the invoice gets paid, not what the cleaner does.
